One of the best features of Microsoft Dynamics 365 (D365) Finance, Supply Chain, and Commerce is the task guide functionality. Several partners and customers use it to capture and replay the to-be processes embedded within D365. It is a simple, accessible, and intuitive tool. Sometimes, it is overstretched to replace online training for the users. In this article, we will review the core differences between the task guides and online training.

First of all, task guides are created by either the customer or the partner. A good understanding of the software is required to record a task guide. Online training offers a standard library of micro-courses that the users can learn from right away. This is especially helpful for the core project team training at the beginning of the project.

Task guides capture the process visually utilizing screenshots and comments. It does not capture sound. The user follows a series of steps with written instructions. Online training streams a pre-recorded video with sound explaining each step. The video can be paused and replayed. The user can compare the online content against his/her own environment and replicate the process.

Task guides are stored in a hierarchical folder structure. They are not role-specific. There are no learning paths. The search capability is limited. Online training content is built around roles. The learner community can be monitored, and their progress can be reported.

Task guides need ongoing maintenance. As the software changes, the user interface and the process flow may change. Task guides may need to be re-recorded. Online training platforms keep up with the continuous changes. The standard content is constantly being renewed with the latest changes in the software.

In conclusion, task guides and online training can be used together to offer the best solution for both customers and partners. For standard and custom training, online platforms can provide effective solutions. Task guides are a great fit for process checklists – that can be triggered at will to guide the user as needed.
